Overview of AC POS
AC POS is an integrated cloud platform for point of sale, sales, purchases, inventory, accounting, and reporting — built for distribution, retail, and multi-branch operations in Saudi Arabia and the region.
Monitor your operations in real time from the dashboard, in any modern browser on desktop, tablet or phone, with flexible user permissions and e-invoicing compliance aligned with ZATCA (Zakat, Tax and Customs Authority) requirements.
- Central dashboard to manage branches, users, and settings.
- Point of sale in the browser on desktop, tablet and phone. An internet connection is required.
- Accurate inventory with alerts, transfers, and location-based tracking.
- Financial and operational reports ready for export and accounting.
- E-invoicing compliant with ZATCA Phase 2.
Quick Start — First 30 Minutes
Follow these steps to launch your business on AC POS quickly and professionally:
- Click Start Now on the homepage, create your account, and verify your email.
- Complete business details: trade name, currency (SAR), fiscal year start, logo, and address.
- Add your first business location/branch and configure tax settings and payment methods.
- Create product categories, then add products manually or import via Excel.
- Register essential customers and suppliers to begin sales and purchases.
- Open POS or create your first sales invoice and confirm inventory updates automatically.
Account & Branch Setup
Setting up your account correctly from day one saves significant time later and ensures accurate reports and tax compliance.
Business profile
Name, commercial registration, tax number, logo, and currency. These details appear on invoices and official reports.
Branches & locations
Add each branch, warehouse, or POS outlet. Inventory, sales, and cash register can be linked per location.
Tax & payment methods
Enable VAT, set the default tax rate, and add payment methods (cash, card, transfer, credit).
Subscription & billing
Review your current plan, allowed users and branches, and billing history in account settings.
Users & Permissions
Create separate accounts for each employee and control what they can view or edit. Do not share the admin account with your team.
- Admin — full access to settings, reports, and users.
- POS cashier — sales, payments, and receipt printing only.
- Sales representative — quotations, orders, and customers without changing settings.
- Inventory manager — purchases, transfers, stock counts, and adjustments.
- Accountant — financial reports, expenses, and payments without deleting sensitive data.
Point of Sale (POS)
AC POS is fast and suited for cashiers, retail stores, and wholesale distributors. It supports quick sales, barcode search, and discounts at invoice or product level.
Completing a sale
Find the product by name or barcode, add quantity, apply discount if needed, choose payment method, and print the receipt or send the invoice electronically.
Hold order
Suspend an invoice temporarily to complete it later — useful for restaurants or when waiting for the customer.
Returns
Create a sales return linked to the original invoice to refund the amount and restore stock automatically.
If the internet drops
The system needs an internet connection, and it has no offline mode that stores invoices locally and syncs them later. While the connection is down nothing can be saved — not the sale, and not a hold either, because Hold order is sent to the server like everything else. Any action you try is refused with the message "You're not connected to a Network". What you have already entered is not lost: the cart is kept in the browser on that device and is offered back to you when you return to the till, so wait for the connection, then complete or hold the sale.
When ZATCA is unreachable
By default the invoice is sent to the Fatoora platform during the same request that creates it, with a twenty-second timeout, and the result — including the reason for any failure — is shown on the invoice. An asynchronous outbox that queues submissions and retries them is built in, but it is off unless it has been switched on for your installation. Ask us to enable it if you issue invoices at a rate where waiting on Fatoora would hold up the till.
Register management
Open and close shifts, record opening and closing cash, and review register variances at end of day.
Sales & Customers
Manage the full sales cycle from quotation to invoice, collection, and follow-up.
- Quotations — send a quote to the customer and convert it to an order or invoice in one click.
- Sales invoices — cash or credit invoices with outstanding balance tracking per customer.
- Sales orders — for delivery or pre-fulfillment, linked to inventory.
- Customer history — purchase history, balance, loyalty points (if enabled), and contact details.
- Multiple pricing — wholesale and retail prices or special pricing for customer groups.
Inventory & Purchases
Inventory is the heart of any trading business. AC POS updates quantities automatically with every sale, purchase, or transfer.
Product management
Simple or variable products (size/color), barcode, unit of measure, and purchase/sale price.
Purchase orders
Create a PO for the supplier, receive goods partially or fully, and record the supplier invoice.
Stock transfers
Move quantities between branches or warehouses with a full audit trail.
Stock adjustments
Count physical stock and adjust variances with a recorded reason.
Low-stock alerts
Set a minimum level per product to receive alerts before stock runs out.
Reports & Decision Making
Use built-in reports to track daily and monthly performance and make data-driven decisions.
- Sales report — by date, branch, product, employee, or payment method.
- Profit & loss — revenue, cost of goods, expenses, and net profit.
- Stock valuation — current inventory value by purchase or sale price.
- Customer & supplier balances — receivables and overdue payables.
- Tax summary — output and input VAT for return preparation.
- Register report — cash movement and shift closings.
E-Invoicing — ZATCA Phase 2
For businesses subject to ZATCA requirements in Saudi Arabia, AC POS supports electronic invoices compliant with Phase 2 of the Fatoora platform.
- Issue tax invoices and credit/debit notes per approved standards.
- Include QR code and UUID on each invoice.
- Link tax registration and commercial registration data in invoicing settings.
- Submission and clearance workflow per your ZATCA integration setup.
- Keep a log of submitted and rejected invoices for review with your accountant.
Before activation
Verify tax number, branch details, and CSR certificate linkage with the Fatoora platform.
After activation
Test a sample invoice, verify the QR code, then begin live invoicing for customers.
Field Work and Mobile Use
There is no AC POS app to download from an app store. The interface itself runs in the browser — including the browser on a phone — and anyone who wants their own app builds it on top of the API. Field teams work from the phone browser, and attendance has API endpoints so you or your developer can build a dedicated app on top of them.
- Clock-in and clock-out from the phone, with a branch geofence applied from the phone's position.
- Create sales and record customer payments from the phone browser, with current stock visible.
- The attendance endpoints — clock-in, clock-out, and an employee's own record and history — are in the API and are called with an API token. See the API documentation.
- Field visits (assigning a visit to a rep and a customer and tracking it to completion) are not part of the platform today: the endpoints exist but require a separate Field Force module, which is not installed, and they answer with "Unauthorized action" until it is. Tell us if you need it and we will say where it stands.
Data Import & Backup
Save time when migrating from another system or entering large volumes of products.
Excel import
Import products, customers, and suppliers using the system's approved Excel templates.
Report export
Export reports to PDF or Excel for accountants or management.
Best practices
Review data after import and test a sample invoice before going live.
Common Troubleshooting
Here are the fastest fixes for issues users encounter most often:
Product not showing in POS
Check that the product is active, available at the current branch, and has stock on hand.
Invoice not submitting to ZATCA
Review integration settings, certificate validity, and complete customer tax details.
Register cash variance
Review today's returns, unrecorded payments, and the previous shift closing.
